On the evening of May 27, 2019, Secretary General Zhang Mengfan of the Sichuan International Medical Exchange & Promotion Association conducted the second special training of the "Into the Hearts of the People" series for the staff of the Secretariat.
In the first half of the training session, Secretary Zhang Mengfan shared her experience in communicating with others at work. She indicated that there are five principles to be adhered to when communicating with people: the principle of smile, the principle of respect, the principle of trustworthiness, the principle of clarity and the principle of fun.
In terms of the principle of smile, the Secretary General mentioned that in general, face-to-face communication is better than telephone and WeChat communication, so when you first meet, keep smiling, which is the best way to show your confidence and willingness for positive communication.
In respect of the principle of respect, it is necessary to be polite and well-mannered. To add a new WeChat friend, you should take the initiative to introduce yourself; when communicating with others via WeChat, you should better type rather than sending voice; and you should take the initiative to apologize in case of a conflict with others.
With regard to the principle of trustworthiness, a closed-loop thinking mode is required. When you have contacted someone or promised something at work, you should feedback the follow-up situation and information to a key people concerned at a certain stage. Keep giving timely feedback whether the issue is done or not. Only in this way can you accomplish the job better and win the trust of others.
With respect to the principle of clarity, it is necessary to grasp the main points when answering questions; giving no irrelevant answer is essential to efficient communication. As for the principle of fun, when talking to people, you should tell about some anecdotes properly, so as to enliven the atmosphere and make it easy to communicate.
The Secretary General then pointed out that these five principles should be applied flexibly in different practical situations; only by communicating with people with heart and paying attention to experience accumulation can one sum up his/her own communication style. In the final Q&A section, colleagues also carried out discussion and analysis of the related issues encountered in interpersonal communication
In the second half, five colleagues of the Secretariat reported their work in the last month. They summarized and analyzed the shortcomings existed in the past month's work and the places that need attention, and streamlined the work plan for the next month.
